Burl Oaks Golf Club hosts one wedding or event at a time to ensure success of the event. Because of this, cancellations cause great revenue loss. If you need to cancel your wedding, please notify your Wedding Specialist as soon as possible. Your $250 deposit will be forfeited unless Burl Oaks can rebook another event of equal or more value on the same date.
Burl Oaks has two self-service coat checks in the entry of our Clubhouse.
Damages, Lost Items, and Property
Burl Oaks will not assume liability for damage to or loss of any merchandise or articles left at the facility. Any personal items used at your reception should be taken at the end of the night, unless previous arrangements have been made (see “Reception Set-up and Tear-down”). The organization or individual contracting with Burl Oaks shall be responsible for any damage incurred to the premises during the time of the event. Burl Oaks will not be held responsible for acts of God. Additionally, there is no confetti, glitter, rice, birdseed, or bug spray allowed in our facilities or on our grounds.
Deliveries must be coordinated with your event coordinator. Please have all of your deliveries clearly labeled with your name.
Deposit and Payment Policy
There are two deposit and payment steps to booking your event at Burl Oaks. We accept checks and most major credit cards (American Express, Visa, MasterCard, and Discover). For members/owners, payments can be charged to your club account, unless other arrangements are made.
- A $250 non-refundable deposit and signed contract is required to hold the date. Until the deposit is received, all space reservations are considered tentative and are subject to release.
- Full payment, including estimated food and beverage costs, is due two business days before your event. In the event we overestimate your final payment, we will refund the overage within 7 business days. If we have underestimated your final payment, we will provide you with the adjusted bill and require payment within 7 business days.
Food and Beverage Minimum
Please note the food and beverage minimums do not include taxes or service charges.
- Friday and Sunday events require a $2,000 food and beverage minimum
- Saturday events require a $3,000 food and beverage minimum
Food and Beverage Policy
Burl Oaks prides itself on being an excellent full-service event facility. A finalized menu is required at least two weeks prior to your wedding day. It is important to note that we prohibit any outside food or beverages at Burl Oaks, except for wedding cakes from licensed vendors. If you want something special that you do not see listed on the menus or in the packages, please ask your event coordinator and we will do our best to accommodate your request.
A food tasting may be pre-arranged through your event coordinator. Tasting cost is based on the menu items you order. Please book this at least three weeks in advance of your event to guarantee the due date of the finalized menu. Limited items available. Tastings available Tuesday-Thursday evenings and Sundays by appointment.
We ask for your final number of guests three business days in advance. Burl Oaks prepares approximately a 5% overage on all food and beverage. The amount you will be charged will be the guaranteed number of guests, or the actual number of guests, whichever is greater.
Burl Oaks is handicap accessible through our front entrance and your event is held entirely on the first floor for accessibility.
Menus and Prices
The prices in this packet are subject to change, but good until August 31, 2016.
Reception Set-Up and Tear-Down
You are welcome to come in the day of your event to setup your personal décor items. Any items rented from Burl Oaks will be set-up by Burl Oaks’ staff. If you prefer to not setup your personal items, we will be happy to assist you for a fee of $50. If you wish to pick up your personal items the next day, there will be a $50 tear down fee.
Room Rental Fee
The room rental fee covers the Wenkstern Ballroom, adjoining patio, and the foyer outside the room.
* Tuesday - Thursday events require a $100 room rental fee
* Friday and Sunday events require a $250 room rental fee
* Saturday events require a $400 room rental fee
*Any Saturday event booked before August 31, 2016 will only be charged a room rental fee of $300.
A Burl Oaks staff member will be on-site throughout the duration of your reception. However, Burl Oaks cannot assume responsibility for the damage or loss of any merchandise or articles brought on to the premises.
Burl Oaks is a non-smoking facility. Smoking is allowed outside in designated areas.
Taxes and Service Charges
Please note all packages are subject to Minnesota state taxes. There will be a 19% gratuity service charge, 7.275% sales tax on food and non-alcoholic beverages, and 9.775% sales tax on alcohol.
Festivities is our exclusive provider of tents. Please contact Matt Johnson directly at (763) 682-4846 or www.festivitiesmn.com. Please note additional ground maintenance fees may apply.
Transportation vendors are available upon request. Please talk to your event coordinator about specific details.
Please ask your event coordinator for details on valet parking. Additional charges will be incurred for this service.
You may bring a wedding cake/dessert from a licensed vendor or choose a company from our list of Preferred Partners. Burl Oaks will provide cake plates and forks.
