CANCELLATION POLICY
Burl Oaks Golf Club hosts one wedding or special event at a time to ensure success of the event. Because of this, cancellations cause great revenue loss. If you need to cancel your wedding or special event, please notify your Wedding Specialist as soon as possible. You will forfeit your deposit unless Burl Oaks can rebook another event equal or more value on the same date. Any event cancelled within ninety (90) days will be responsible for the catering minimum.
COAT CHECK
Burl Oaks has two self-service coat checks in the entry of our Clubhouse.
DAMAGES, LOST ITEMS, AND PROPERTY
Burl Oaks will not assume liability for damage to or loss of any merchandise or articles left at the facility. Any personal items used at your reception should be taken at the end of the night, unless previous arrangements have been made (see “Reception Set-up and Tear-down”). The organization or individual contracting with Burl Oaks shall be responsible for any damage incurred to the premises during the time of the event. Burl Oaks will not be held responsible for acts of God. Additionally, there is no confetti, glitter, rice, birdseed, or bug spray allowed in our facilities or on our grounds.
DELIVERIES
Deliveries must be coordinated with your event coordinator. Please have all of your deliveries clearly labeled with your name.
DEPOSIT AND PAYMENT POLICY
We accept cash, checks and most major credit cards (American Express, Visa, MasterCard, and Discover). For members/owners, payments can be charged to your club account, unless other arrangements are made.
FOOD AND BEVERAGE MINIMUM
Minimums are based on time of day and day of the week. The food and beverage minimum are for goods consumed in the event space at the time of the event. Each food and beverage minimum is subject to 20% service charge is added to the minimum followed by sales tax.
FOOD AND BEVERAGE POLICY
Burl Oaks prides itself on being an excellent full-service event facility. A finalized menu is required thirty (30) days prior to your wedding day and ten (10) business days prior to all other events. It is important to note that we prohibit any outside food or beverages at Burl Oaks, except for wedding cakes and desserts provided from licensed vendors.
FOOD TASTING
Food tastings are welcome for all platted events by appointment, but are not complementary. Payment is required on the day of tasting and limited to four (4) guests.
GUARANTEES
We ask for your final number of guests five business days in advance. Burl Oaks prepares approximately a 5% overage on all food and beverage. The amount you will be charged will be the guaranteed number of guests, or the actual number of guests, whichever is greater.
HANDICAP ACCESSIBLE
Burl Oaks is handicap accessible through our front entrance and your event is held entirely on the first floor for accessibility.
MENUS AND PRICES
Prices are subject to change.
RECEPTION SET-UP AND TEAR-DOWN
You are welcome to come in the day of your event to setup your personal décor items. Any items rented from Burl Oaks will be set-up by Burl Oaks’ staff. If you prefer not to set-up your personal items, we will be happy to assist you for a fee of. If you wish to pick up your personal items the next day, there will be a tear down fee.
ROOM RENTAL FEE
Please inquire with our event specialist. These fees can vary based on day, time, season and demand.
ROOM SETUP AND DECOR
The event room will be set up to the guest preferences finalized prior to the event. All decorating arrangements must be scheduled and approved in advance by the Event Coordinator. Any deliveries for the event are not to be delivered until the day of the event. The hosting guest is responsible for all set-up and removal of all decorations, favors, containers and rental items not procured through Burl Oaks Golf Club. Prohibited items include anything affixed to Clubhouse property not limited to nails, tacks, pins, staples, glitter, confetti, duct tape and scotch tape. Bubble or fogger machines are prohibited. The items prohibited from entering the clubhouse and thrown outside include but are not limited to rice, confetti or bird seed. Please confirm with the Event Coordinator before using any items that are not listed. All decorations, favors, containers and rental items not procured through Burl Oaks Golf Club must be removed the same day or evening of the event. Burl Oaks Golf Club is not responsible for any rental items and decorations left at the clubhouse or its premises after your event.
SECURITY
A Burl Oaks staff member will be on-site throughout the duration of your reception. However, Burl Oaks cannot assume responsibility for the damage or loss of any merchandise or articles brought on to the premises.
SMOKING POLICY
Burl Oaks is a non-smoking facility. Smoking is allowed outside in designated areas.
TAXES AND SERVICE CHARGES
Please note all packages are subject to Minnesota state taxes. There will be a 20% gratuity service charge, 7.275% sales tax on food and non-alcoholic beverages, and 9.775% sales tax on alcohol.

Transportation vendors are available upon request. Please talk to your event coordinator about specific details.
